PATS - Getting Started (latest version assumed)


How the software behaves when test results from a PAT tester are downloaded depends very much upon how the software was set up prior to download.


System Administration (screen 5 from Main menu) is where system options and other information that the PATS software requires. Setting these options prior to downloading will make the initial use of the software easier.


SCREEN 5.4 SYSTEM OPTIONS


Set up the Communication with Test Instrument screen as per the values in the Data Input/Output section of the PAT Operating Instructions Booklet. See also the Download Information Sheets. Page Down for further options.


If you intend to use the multi-site facility i.e. you will be testing at multiple sites or you wish to group the appliances you are testing into sites, then set multi-site option to yes. The sites you test at will have to be registered in the Sites file on screen 5.5.1.


Normally you would test at one site, then download to the PATS s/w. If you intend to test at more than one site prior to downloading i.e. the tester will hold test results for more than one site, then the usercode option should be set for site use. This means that the usercode which is input at the end of each test on the Tester will be assumed to be a site code. The sites that you intend to test at, will need to set up in the Sites file on screen 5.5.1. The PATS s/w will check this file whenever a site is referred to. The usercode input into the Tester will have to match the site code in the Sites file.


The usercode can also be used to record the name of the person carrying out the testing. The persons whose initials will be input into the Tester usercode, will need to be registered in screen 5.5.3.


CREATING EQUIPMENT RECORDS


The normal situation would be that prior to downloading test results from the Tester, Equipment Records (which contain information on appliances to be tested) would be created in the Equipment Register screen 1 (or 1.1 of PATS+). The test results will appear in the History file of the Equipment Record after downloading.


However, there is an option available in screen 5.4 System Options, which will automatically create the outline of a record in the Equipment Register for results which are downloaded and there was no record. This option is useful for initial testing on the first visit to a site.

There will be information that the Tester will not hold that will be required for the record on the PC e.g. Test code, Description, Location, Serial Number. You should make a note of this information when testing appliances which do not have records already in the Equipment Register. This information will be required when you create or complete the Equipment Record.

With the PAT2000i tester the 4 lines of text at the end of each test can be used to record Description, Location and Serial Number for use by the software when creating Equipment Records. These text lines should be defined on the Use of Usercode screen of section 5.4 prior to use with the tester.


If you download test results, and this option was not set and Equipment Records had not previously been created, then the test results will go to screen 3.5 Review and correct history (after update) (which is a screen where test results which the PATS s/w doesn't know what to do with end up, they are marked NOF). At this screen you can select a result and Create a Record for it.


TESTER RE-CALIBRATION PROMPT


There is a feature available which enables you to be prompted by the software when the Tester to be downloaded requires re-calibration. It also records the Tester's serial number against the downloaded results, this enables you to know which Tester was used to carry out any particular test. This can be useful if a number of Testers download to the same PATS system.


When using screen 3.3 to download, one of the fields on this screen allows you to input the PAT serial number. If you type in a serial number it will search the Equipment Register for this serial number, if it finds one it will display information about it, otherwise it will display a warning that it is not on the Equipment file (i.e. Equipment Register).


If you wish to use this facility then create a record on the Equipment Register for each Tester, it might be useful to create a new site for the Testers to keep the records separate from your normal testing. The serial number must be included in the record, for the Freq. input 12m (for annual calibration), for last Check Date input the last calibration date or the date when you bought the Tester, the Next Check Date will automatically be calculated. It is now set up and provided you input the Tester serial number prior to downloading it will check that the Tester does not require re-calibration and it will add the serial number to the download test results.


INPUT ERROR REPORT MESSAGES


When you download the Tester to the software, if there is some problem with updating the History File an Input Error Report will be produced. You should read the report to enable you to determine where the test results reside and the cause of the problem. Below are a list of

Input Error messages and the possible cause. There is only one Input Error Report held by the system at any one time. The last report may be overwritten if another Download and Update

or Update is carried out. This is why you will be prompted to print the report prior to another download. The current Input Error Report is available on the Printed Reports screen 4.


"SITE NOT ON SITES FILE"


System option for User Code on screen 5.4 is set for site use and no User Code was input to the tester or a User Code was input which is not on the Sites File on screen 5.5.1.


"EQUIPMENT NOT ON EQUIPMENT FILE"

The Appliance Number entered into the Tester at the time of carrying-out the test does not correspond to any Equipment Number contained in the records on the Equipment Register.

This could be caused by a mistake on inputting the Appliance Number into the Tester. But is more likely to be caused by downloading test results for appliances which do not have records on the Equipment Register. The test results are on screen 3.5 and will have the status of NOF (Not on file). Once a record has been created on screen 3.5 or on the Equipment Register then the NOF status will be removed and the test result will appear in the History file of the record.


"EQUIPMENT NOT ON EQUIPMENT FILE

Record created for equipment number xxxx"


The Appliance Number entered into the Tester at the time of carrying-out the test does not correspond to any Equipment Number contained in the records on the Equipment Register.


However, the option was set on Screen 5.4 for the automatic creation of an Equipment Record for this test result on the Equipment Register. Therefore a record will have been created for this test result and the test result will appear in the History file of the new record.


"WARNING: DATE MORE THAN 3 WEEKS AGO"


The date of the test result (from the Tester) is more than 3 weeks ago. The Record will be updated with the test result, but the Next Check Date will have today's date implying that since the test results are out-of-date then re-testing should be carried out.


"Duplicate transmission"


This test result has been previously downloaded and the test result at this download will be rejected. The original downloaded result will either be on Screen 3.5 (if this message was preceded by the message EQUIPMENT NOT ON EQUIPMENT FILE) or in the History file of the Equipment Record. it is correct (see 2 above).
